The recruitment company handles a high volume of hiring requests, CVs, and candidate enquiries every day. Each role requires an understanding of the client’s needs, initial screening across multiple candidate sources, follow-up communication, ATS documentation, and close coordination with recruiters.

The challenge was not only the number of CVs. It was turning fragmented information (a client request, CV, candidate profile, WhatsApp conversation, and call notes) into one consistent process that identifies high-quality matches quickly.

The solution

Vayra developed a set of AI agents connected to the company’s ATS, website, candidate sources, and third-party job boards.

The workflow begins when a new hiring request arrives. The agent analyses the job description, mandatory requirements, and characteristics of a suitable candidate. It then creates a role-specific set of screening questions rather than relying on one generic questionnaire for every vacancy.

At the same time, the system receives thousands of CVs each day, analyses the initial information, identifies experience, skills, availability, and other relevant details, and compares them against the role requirements.

    A hiring request arrives

    The agent reads the request, identifies the role characteristics, and defines the initial screening criteria.

    CVs are analysed and sorted

    Candidates from the ATS, company website, and third-party job boards undergo an initial analysis based on their fit for the role.

    Autonomous candidate communication

    Candidates with potential receive a WhatsApp message with role-specific questions. The agent continues the conversation, gathers responses, and identifies information that is still needed for an initial decision.

    Recruiters receive a focused shortlist

    Recruiters receive a list of suitable candidates with a summary, role fit, answers to important questions, and the full context required for the next step.

    Calls are scheduled and documented

    When there is a potential fit, the agent coordinates a phone call between the recruiter and candidate. Subject to consent and applicable privacy policies, the conversation can be documented and summarised automatically in the ATS.

    Strong candidates move forward

    For candidates the recruiter identifies as a strong fit, the system prepares an interview summary and structured documentation that can be used as the basis for presenting the candidate to the client.
